Creating And Using A Signature


An E-mail signature or E-mail sig file is a brief descriptive file that is appended (added) to the end of your out-going E-mail messages. This is the universally accepted manner in which to publicize and advertise your company name, product/services and contact information. You can advertise anywhere by using a signature, just don't make it 2 pages long.

Your e-mail signature file should contain the following minimal information:

(1) Your company/organization name.
(2) Your company/organization phone number.
(3) Your e-mail address.

Optionally, you may include:

(4) A contact name.
(5) Web site, FTP, Gopher site URL's.(Universal Resource Locators)
(6) Postal address.
(7) Brief product/service description or motto.

You can also create alternate sig files that contain different advertising messages. Most E-mail programs allow you to create and select from an unlimited number of available sig files. The entire signature file must be composed of ASCII text or symbols, and you will want to use a simple ASCII text editor like Notepad, which is part of Windows.

The signature above includes everything you see above, starting from "Sincerely." This way, when you are done typing a message you just hit send -- you don't have to type out "Sincerely", your name, etc. That's the whole point of it, it saves you time. Here's another example...

This is an example of one you can use when you're sending a message to an agent. You can have many of them to reinforce important info., remind agents about something, etc. Again, it's a great time-saving feature. If you change your E-mail address for example and need to let everyone know, you can mention this new information in your E-mail signature.

Setting up a sig is very easy, and just about every E-mail program I've ever come across supports it. Normally you just look in the menus for "options" or "preferences" and there will be a choice to create and use the signatures. Because each program is different, I won't go into details here.
